I don't know if you 've seen any drupal dojo lessons, but they are terrific.
It'll be a lot easier than rounding up videocameras and crew for every session. Plus the screencasts are really useful.
Maybe you can talk to the organizers about getting every (Drupal) session done in drupal dojo style, or at least offering speakers the option and a bit of encouragement along with the link to the instructions.
all of the lessons can end up in the handbooks and will greatly enhance the documentation
